Hidden Costs to Calculate Before You Decide

Auto-update expiration (Chromebook)

Every Chromebook has an Auto Update Expiration (AUE) date, typically 8 years from initial release. After AUE, the device receives no Chrome OS updates and becomes a security risk. Check AUE dates before purchasing older Chromebook models.

iPad keyboard and case costs

The base iPad price is deceptive. Add a case ($40–$80), an Apple Pencil ($99), and a keyboard ($99–$329), and the per-device cost approaches or exceeds that of a Chromebook. Calculate the fully loaded cost, not the device-only cost.

Windows imaging time

A Windows device takes 20–45 minutes to image, join to a domain, install software, and configure. At 500 devices, that is 166–375 hours of IT labor. Factor this into your deployment cost.

Software licensing by platform

Some curriculum applications are licensed differently by platform. Verify that your existing software agreements cover the platform you are choosing before purchasing devices.

List them. Check the developer's platform recommendation.

Q2: What does our state's standardized assessment require or recommend?

Contact your state's DOE for the official platform compatibility list.

Q3: What is our realistic per-device budget, fully loaded (device + case + accessories + 5-year support)?

Use this number, not the device list price.

Q4: What is our IT team's capacity to manage this platform on an ongoing basis?

Be honest. A platform that saves $50/device but adds 2 hours per week of management may cost more.

Q5: What does our curriculum direction look like in 5 years?

A district moving toward project-based and creative learning may prioritize the iPad. A district focused on productivity and assessment may prioritize Chromebooks or Windows devices.
